Twinbrook PTA Board Position Descriptions

The elected board positions are president, secretary, treasurer, and 3 vice presidents. The terms are for one year, July 1 – June 30. Although there are few PTA meetings during the summer, there are County training opportunities and planning needs that would mean board members do need to have some availability during the summer and especially towards the end of August, depending on their position. Given how busy everyone is, daily access to email would be helpful.

President

The President of the PTA is responsible for making sure our charter is in good standing.  We need to be sure to be current on required tax filings and memberships with the Cluster, etc.  The President typically meets directly with the Principal every month or so to discuss upcoming events and to help support the teachers and staff.  There is a PTA meeting the first Tuesday of every month, the President prepares meeting slides for the meeting and helps coordinate with other board members to be sure we are on schedule and aware of future events and needs.  The President is also encouraged to attend the Cluster zoom meetings every Friday, this year it is noon on Fridays, but that changes depending on members availability.  Delegation is a skill that is very important for the president to have. If you plan and prepare for events properly you should have time to delegate and solicit help for the different school events from other PTA members and or parents.  

Vice President – Membership

The Vice President of Membership supports the PTA by organizing the annual membership drive, coordinating member interest in committees (such as advocacy, book fair, or 5th grade promotion), and other support as needed to support the board’s activities and ensure members feel welcome and connected. 

The annual membership drive is the VP Membership’s main role and is heavily weighted towards the beginning of the school year. The tasks involved include updating the membership form, promoting the PTA at key events such as the open house and back to school night, collecting membership forms, ensuring members receive welcome emails, collecting dues, maintaining an accurate list of members, and distributing the premium membership items. 

Coordinating member interest in committees involves a few emails to verify interest in the committees, and providing those lists to the chairs of each committee. 

This role involves approximately 2-3 hours per week over the first couple of weeks of school, about 1 hour per week from mid-Sept to mid-Oct, and then about 1-2 hours per month for the remainder of the school year. The majority of this role’s work is done remotely, on your own time. 

Vice President – Communications

Do you love connecting with people and sharing information? Are you organized, tech-savvy(ish), and passionate about our school community? If so, then this might be the perfect volunteer role for you!

What you’ll do:

  • Be the voice of the PTA: Craft and send engaging emails (2-3 per month) to keep parents and families informed about school events, important dates, and PTA initiatives.
  • Spread the word on social media: Manage the PTA’s social media presence (Facebook, Instagram, etc.) by creating and sharing fun and informative posts.
  • Zoom master: Provide behind-the-scenes support for PTA meetings on Zoom, including setting up meetings, managing participants, and troubleshooting any technical issues.

Vice President – Fundraising

The Vice President of Fundraising supports the PTA by organizing and coordinating the school’s fundraising efforts. The role consists of emails to source new/existing fundraising partners, promoting fundraising events, and monthly trips to the school to make flyer copies/stuff teacher mailboxes. Most months require about 3-4 hours. The position is very flexible as you can do most of the work on your own time.

Treasurer

The Treasurer manages the organization’s finances, including budgeting, tracking income and expenses, preparing financial reports, physically visiting the bank, processing and mailing payments, completing tax forms, advising on programming decisions, and ensuring funds are handled responsibly and legally. The PTA cannot function without a Treasurer. The time commitment involved is second only to the President. Most months require only about 2-3 hours, but certain times of the year (generally in late spring and late summer) can involve as much as 8 hours each to complete more complex tasks (e.g., late spring reimbursements and closing out the year, annual financial review, budget planning). The person serving as Treasurer should be comfortable with using electronic spreadsheets (Google Sheets) to develop and maintain the budget, detail-oriented, and diligent about keeping track of expenses and processing payments promptly. The State-level PTA provides a guide and lots of training on the details of this role, so no specific prior experience is required. 

Secretary

The Secretary supports the PTA by attending the monthly meetings and taking minutes to be distributed to the board. It is really quite simple and a great introductory PTA leadership position! The role involves approximately 2-3 hours a month, tops. Organization and writing skills are a plus.
